Review Management: Responding Without Violating Guidelines
How to respond to reviews without violating Google's review policies.
Reviews affect prominence and trust. Responding to reviews — positive and negative — professionally is part of managing a Business Profile. This guide covers how to respond without violating Google's guidelines. See Google Business Profile Optimization for the full reference.
Why respond
Responding to reviews shows that the business is active and cares about customers. It also provides context for future readers. Google's review policies govern what is and is not allowed in reviews and responses.
How to respond
| Review type | Response approach |
|---|---|
| Positive review | Thank the reviewer; be specific and genuine |
| Negative review | Acknowledge the concern; offer to resolve offline |
| Fake or policy-violating review | Flag it for removal; do not argue publicly |
| Review with private information | Do not repeat private information in the response |
What not to do
- Do not offer incentives for reviews (violates Google's policies).
- Do not solicit only positive reviews.
- Do not post fake reviews.
- Do not argue or attack the reviewer.
- Do not include private customer information in responses.
